Purchasing Officer

Job Description

Our cafe is committed to delivering fresh, high-quality food and beverages through dependable service and carefully selected ingredients. We are looking for a Purchasing Officer to manage procurement activities, maintain strong supplier relationships, and ensure the cafe has the products and materials needed for smooth daily operations.

Responsibilities

• Source food, beverages, packaging, equipment, and other cafe supplies from reliable suppliers.
• Obtain quotations, compare prices, and negotiate favourable purchasing terms.
• Prepare and process purchase orders while ensuring accuracy and timely delivery.
• Monitor stock levels and coordinate purchasing according to operational requirements.
• Maintain accurate purchasing records, invoices, supplier details, and delivery documentation.
• Inspect deliveries for quality, quantity, freshness, and compliance with specifications.
• Develop and maintain professional relationships with suppliers and service providers.
• Work closely with kitchen, bar, and management teams to anticipate purchasing needs.
• Monitor market prices and identify opportunities to reduce costs without compromising quality.
• Ensure purchasing activities follow the cafe’s policies, budgets, and quality standards.

Qualifications

• Bachelor’s degree or diploma in Procurement, Supply Chain Management, Business Administration, Finance, or a related field.
• 2 or more years of purchasing or procurement experience, preferably within a cafe, restaurant, food service, or retail environment.
• Strong negotiation, supplier management, and communication skills.
• Good understanding of inventory control and purchasing procedures.
• Excellent numerical, organisational, and record-keeping abilities.
• Proficiency in Microsoft Office or relevant procurement and inventory software.
• Strong attention to detail and the ability to manage multiple purchasing requirements.
• Knowledge of food quality, storage requirements, and supplier standards is an advantage.
