Purchasing Officer

Job Description

Join our hotel as a Purchasing Officer and play a key role in ensuring the timely procurement of quality goods and services that support daily operations. We are looking for a highly organised, detail-oriented professional with strong negotiation skills and the ability to maintain excellent supplier relationships while ensuring value for money and consistent stock availability.

Key Responsibilities

• Source, evaluate, and negotiate with suppliers to obtain quality products at competitive prices.
• Process purchase requests and prepare purchase orders accurately.
• Monitor inventory levels and coordinate replenishment with relevant departments.
• Build and maintain strong relationships with approved vendors.
• Compare quotations and recommend cost-effective purchasing decisions.
• Ensure purchased items meet required quality standards and delivery schedules.
• Track orders and follow up on deliveries to avoid supply delays.
• Maintain accurate purchasing records, invoices, and supplier documentation.
• Work closely with the finance and stores teams to reconcile purchases.
• Identify opportunities for cost savings without compromising quality.
• Ensure compliance with the hotel’s purchasing policies and procedures.
• Prepare regular procurement and expenditure reports for management.

Qualifications

• Proven experience as a Purchasing Officer, Procurement Officer, or in a similar purchasing role, preferably in a hotel or related environment.
• Strong knowledge of procurement processes, inventory control, and vendor management.
• Excellent negotiation, communication, and interpersonal skills.
• Good analytical and problem-solving abilities.
• Proficiency in Microsoft Office applications, particularly Excel.
• Experience using procurement or inventory management software is an advantage.
• Strong organisational skills with the ability to manage multiple priorities.
• High level of accuracy, integrity, and attention to detail.
• Ability to work independently and collaboratively within a team.
• Good understanding of budgeting and cost control principles.
