Telephone Operator

Job Description

Our hotel is committed to providing attentive service and a smooth guest experience from the first call to the final farewell. We are seeking a courteous and organised Telephone Operator to join our team. The successful candidate will manage incoming and outgoing calls, connect guests with the appropriate departments, and ensure every telephone interaction reflects the hotel’s professional standards.

Responsibilities

• Answer incoming calls promptly and courteously, using appropriate telephone etiquette.
• Connect guests and callers to the correct departments, staff members, or rooms.
• Take and relay accurate messages when requested personnel are unavailable.
• Provide general information about hotel services, facilities, operating hours, and procedures.
• Handle guest requests received by telephone and communicate them promptly to relevant departments.
• Maintain accurate records of calls, messages, and special requests.
• Respond professionally to complaints and direct complex concerns to the appropriate supervisor.
• Monitor internal communication lines and report technical issues promptly.
• Protect guest privacy and maintain confidentiality when handling telephone communications.
• Support the front office team with administrative and communication duties when required.

Qualifications

• High school diploma or equivalent qualification.
• Previous experience as a telephone operator, receptionist, customer service representative, or in a similar hotel role is preferred.
• Excellent verbal communication and active listening skills.
• Professional telephone etiquette and a courteous manner.
• Strong organisational skills with excellent attention to detail.
• Ability to remain calm and professional when handling busy call periods or difficult situations.
• Basic computer and telephone system proficiency.
• Strong commitment to guest service and confidentiality.
