Job Description

Our hotel is looking for a courteous, organised, and attentive Telephone Operator to join our front office team. The successful candidate will serve as an important point of contact for guests, colleagues, and external callers, ensuring every telephone interaction is handled professionally and efficiently. Responsibilities

• Answer incoming calls promptly and professionally, directing them to the appropriate department or guest.
• Handle guest requests, enquiries, and messages accurately and courteously.
• Transfer calls efficiently while maintaining guest privacy and confidentiality.
• Record and relay messages clearly to guests and hotel departments.
• Provide accurate information about hotel facilities, services, operating hours, and procedures.
• Monitor and respond to internal communication requests from hotel departments.
• Assist with wake-up call services and ensure scheduled calls are completed accurately.
• Maintain an organised telephone log and report communication issues when necessary.
• Handle difficult or urgent calls calmly and escalate matters appropriately.
• Coordinate with the front office and other departments to ensure smooth guest communication.

Qualifications

• Previous experience as a Telephone Operator, Switchboard Operator, Receptionist, or in a similar hotel role is an advantage.
• A diploma or certificate in Hospitality Management, Communications, Business Administration, or a related field is preferred.
• Excellent verbal communication and active listening skills.
• Professional, friendly, and confident telephone manner.
• Strong attention to detail and ability to record information accurately.
• Good organisational and multitasking abilities.
• Comfortable using telephone systems, computers, and standard office software.
• Ability to remain composed and professional during busy periods.
• Strong commitment to guest service and confidentiality.
