Purchasing Officer

Job Description

An organised and detail-oriented Purchasing Officer is needed to support the smooth daily operation of a busy cafe. This role is ideal for someone who enjoys building strong supplier relationships, maintaining accurate inventory records, and ensuring quality products are always available. If you have excellent negotiation skills and a proactive approach to purchasing, we would love to hear from you.

Responsibilities

• Source quality food, beverages, packaging, cleaning supplies, and operational materials
• Compare supplier prices and negotiate favourable purchasing terms
• Prepare and process purchase orders accurately and on time
• Monitor stock levels and replenish inventory before shortages occur
• Build and maintain positive relationships with suppliers and vendors
• Coordinate deliveries and ensure purchased items meet quality standards
• Resolve supply issues, shortages, and delivery delays promptly
• Maintain accurate purchasing records, invoices, and inventory reports
• Work closely with kitchen and cafe teams to forecast purchasing needs
• Support cost control initiatives while maintaining product quality
• Ensure purchasing activities comply with company policies and procedures

Qualifications

• Previous experience in purchasing, procurement, inventory control, or supply chain, preferably in a cafe, restaurant, or food service environment
• Strong negotiation and vendor management skills
• Good understanding of inventory management principles
• Ability to analyse pricing, costs, and purchasing trends
• Proficiency in Microsoft Office applications, particularly Excel
• Experience using inventory or purchasing software is an advantage
• Excellent organisational and time management skills
• Strong numerical accuracy and attention to detail
• Effective communication and problem-solving abilities
• Ability to prioritise multiple tasks and meet deadlines
• High level of integrity, reliability, and professionalism
