Procurement Officer

Job Description

Our cafe is committed to delivering quality food, beverages, and excellent customer experiences through efficient daily operations and carefully selected products. We are seeking a detail-oriented Procurement Officer to manage purchasing activities, maintain strong supplier relationships, and ensure the cafe consistently has the ingredients, packaging, equipment, and supplies required for smooth operations.

Responsibilities

• Source and evaluate suppliers based on quality, price, reliability, and delivery performance.
• Obtain quotations, compare prices, and negotiate favourable purchasing terms.
• Prepare and process purchase orders while maintaining accurate procurement records.
• Monitor stock levels and coordinate timely replenishment of ingredients and supplies.
• Work closely with the kitchen and cafe management teams to understand purchasing needs.
• Inspect deliveries to ensure quantities, quality, and specifications meet requirements.
• Maintain an up-to-date supplier database and procurement documentation.
• Monitor purchasing costs and identify opportunities to reduce unnecessary expenditure.
• Ensure procurement activities follow established budgets and internal procedures.
• Track orders and resolve delivery, pricing, or quality issues with suppliers.

Qualifications

• Bachelor’s degree or equivalent qualification in Procurement, Supply Chain Management, Business Administration, Finance, or a related field.
• Previous procurement or purchasing experience, preferably within a cafe, restaurant, food service, or retail environment.
• Strong negotiation, supplier management, and communication skills.
• Good knowledge of inventory control and purchasing procedures.
• Strong numerical and analytical abilities with excellent attention to detail.
• Proficiency in Microsoft Office and purchasing or inventory management systems.
• Ability to manage multiple orders, deadlines, and supplier relationships effectively.
• Understanding of food products, packaging materials, and cafe supplies is an advantage.
• High level of integrity, organisation, and commercial awareness.
