Telephone Operator

Job Description

Our hotel is committed to delivering efficient, courteous, and professional service at every point of guest contact. As part of our front-of-house team, the Telephone Operator will serve as a key communication link between guests, hotel departments, and external callers. We are looking for a confident and attentive individual who can manage calls professionally while ensuring every interaction reflects the high service standards of the hotel.

Responsibilities

• Answer and transfer incoming telephone calls promptly and professionally.
• Handle guest enquiries, requests, and messages with accuracy and courtesy.
• Provide clear information about hotel services, facilities, operating hours, and procedures.
• Take and relay messages accurately to guests and relevant departments.
• Maintain an updated list of important hotel contacts and extensions.
• Record and follow up on guest requests when required.
• Handle wake-up calls according to guest instructions and hotel procedures.
• Maintain confidentiality when dealing with guest information and telephone conversations.
• Coordinate with the front desk, housekeeping, room service, and other departments when resolving guest requests.
• Report telephone system issues or communication problems to the appropriate department.

Qualifications

• Previous experience as a Telephone Operator, Front Desk Agent, Guest Services Representative, or in a similar hotel role is preferred.
• Strong verbal communication and active listening skills.
• Professional and pleasant telephone manner.
• Ability to remain calm and courteous when handling busy periods or difficult calls.
• Good organisational skills with strong attention to detail.
• Comfortable using telephone switchboards, internal communication systems, and basic computer applications.
• Ability to manage multiple calls and requests efficiently.
• Fluency in English is required; additional languages are an advantage.
