Telephone Operator

Job Description

A well-established hotel is looking for a courteous and organized Telephone Operator to serve as the first point of contact for guests and callers. The successful candidate will manage incoming and outgoing calls, provide accurate information, direct calls efficiently, and support smooth communication across hotel departments while delivering exceptional customer service.

Key Responsibilities

• Answer and route incoming calls promptly and professionally.
• Provide guests with accurate information about hotel services, facilities, and local attractions.
• Handle wake-up call requests and ensure they are completed on time.
• Take and relay messages accurately to guests and staff.
• Assist with guest inquiries, reservations, and internal communication when required.
• Maintain confidentiality of guest information and hotel operations.
• Monitor telephone systems and promptly report technical issues.
• Coordinate with the Front Office and other departments to ensure efficient service delivery.
• Keep records of calls, messages, and guest requests where necessary.
• Respond calmly and professionally to emergency calls, following hotel procedures.

Qualifications

• Diploma, certificate, or equivalent qualification in Hospitality, Business Administration, Communications, or a related field.
• Previous experience as a Telephone Operator, Front Desk Agent, Receptionist, or in a similar customer service role within the hospitality industry is an advantage.
• Excellent verbal communication and active listening skills.
• Strong telephone etiquette with a friendly and professional manner.
• Proficiency in basic computer applications and hotel telephone systems; experience with Property Management Systems (PMS) is an added advantage.
• Strong organizational skills with the ability to multitask in a fast-paced environment.
• Good attention to detail and accuracy in handling guest information.
• Ability to remain calm under pressure and resolve guest inquiries efficiently.
