Event Coordinator

We are looking for a highly organized and energetic Event Coordinator to join our hotel team. In this role, you will oversee the planning and execution of a wide range of events, ensuring every detail is managed with professionalism while delivering outstanding service to guests and clients.

Key Responsibilities

• Plan, coordinate, and execute meetings, conferences, weddings, banquets, and special events.
• Meet with clients to understand their event requirements, budgets, and expectations.
• Prepare event proposals, schedules, and function sheets for internal teams.
• Liaise with catering, kitchen, housekeeping, front office, and maintenance departments to ensure seamless event delivery.
• Coordinate with external vendors and suppliers when required.
• Monitor event setup, execution, and breakdown to ensure quality standards are maintained.
• Handle client inquiries, bookings, and follow-up communications promptly.
• Track event expenses and assist with budget management.
• Resolve client concerns quickly and professionally during events.
• Maintain accurate event records, contracts, and post-event reports.

Qualifications

• Previous experience coordinating events, banquets, conferences, or functions within a hotel or similar environment.
• Strong organizational and multitasking abilities with excellent attention to detail.
• Excellent communication, interpersonal, and client relationship management skills.
• Ability to manage multiple events while meeting deadlines.
• Proficiency in Microsoft Office and event management or hotel booking systems is an advantage.
• Strong problem-solving skills and the ability to remain calm under pressure.
• Professional appearance with a customer-focused attitude.
• Ability to work independently as well as collaboratively with cross-functional teams.
